We are currently recruiting for an Office Assistant to join our adminstrative team. The Office Assistant position is responsible for ensuring the smooth running of the office by streamlining administrative processes to better improve efficiency. This person sets the tone for the whole office and is the liasion between our field staff and office staff. This position requires the incument to be self motivated, professional and courteous to all employees, guests and vendors and should be adept at making everyone feel welcome!


  • Serves as welcoming presence for the office, greeting visitors and applicants.
  • Answers phones, directs calls to appropriate individuals, and prepares messages.
  • Copies, sorts, and files records related to office activities, client transactions, projects, and other matters.
  • Prepares letters, memos, forms, and reports according to written or verbal instructions.
  • Manages updates and job postings on the company website.
  • Monitors and maintains supplies and snacks by checking stock to determine inventory levels; anticipating requirements; placing orders; verifying receipt of items.
  • Ensures office equipment is properly maintained and serviced by scheduling preventive maintenance; troubleshooting failures; calling for repairs; and monitoring equipment operation.
  • Assists the Office Manager in planning and executing the quarterly All Team Meetings
  • Assists with any in-house or off-site activities such as retreats, conferences, and company events and celebrations.
  • Manages and drafts internal company newsletter.
  • Assists the HR Director with day-to-day tasks such as performing reference checks, New Hire Orientation and with annual projects such as Open Enrollment.
  • Assists with special ad-hoc projects for the CEO, Maintenance or Construction departments.
  • Performs other related duties as assigned.

Salary Range: $27.69-$38.76 per hour


  • 3 years Administrative Assistant experience within an office setting is required.
  • High school diploma or equivalent required. Associate degree or bachelor’s is preferred.
  • Valid driver’s license is required.
  • Bilingual in Spanish is preferred.
  • Excellent interpersonal and customer service skills.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to maintain a professional demeanor and high level of confidentiality.
  • Knowledge of Smartsheet software is a plus.
  • Ability to type at least 50 words per minute.
  • Must be able to lift and carry up to 50 lbs. 
  • Adept at troubleshooting and resolving IT equipment issues and will work with outsourced IT vendor to set up work stations and other office equipment.
  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
